What we collect, why we collect it, who sees it, and what you can ask us to do with it. Last updated October 2026.
Who we are
Safely on SITE Ltd, Whangārei, Northland. Our Privacy Officer is Clint Edmonds — clint@safelyonsite.co.nz, 022 122 8563. Any question, complaint or request about your information goes to that address.
Because we record health information about the crews we work with, we follow the Health Information Privacy Code 2020 as well as the Privacy Act 2020.
What this website collects
When you book a visit we collect your company name, contact name, email, phone number, crew size, site location, preferred date and any notes you add. When you send an enquiry we collect your name, email, phone (optional) and message.
We use these details only to reply to you, arrange and confirm the visit, and invoice for it. We do not sell them, and we do not add you to a mailing list.
The site does not use advertising or tracking cookies.
Information recorded on site
During on-site sessions the practitioner records each person's health disclosure, body findings and session notes in the Safely on SITE Tracker. Each person signs a consent form first, which explains this in full.
Employers receive crew-wide, de-identified patterns only — no names, no individual body maps and nothing said in a session. Where a group is too small for a figure to be genuinely anonymous, it is not reported separately.
Where it is held, and for how long
Website and tracker records are held in access-controlled systems run by our software providers, which may store data on servers outside New Zealand. Access is limited to Safely on SITE.
Health records are kept for 10 years after the last session and then destroyed. Booking and enquiry details are kept for as long as we need them to deal with you and to meet our tax record obligations.
Your rights
You can ask to see the information we hold about you, and ask us to correct it. We will respond within 20 working days.
If information is lost or seen by someone who should not have seen it, we will tell the people affected, and where the Privacy Act 2020 requires it we will notify the Office of the Privacy Commissioner.
If you are not happy with how we have handled your information, tell our Privacy Officer first. If that does not resolve it, you can complain to the Office of the Privacy Commissioner — privacy.org.nz, 0800 803 909.
